Wedding Restroom Trailer Cost Guide: Pricing Breakdown for Hudson Valley

Everything you need to know about the cost of booking a luxury bathroom trailer for your wedding in the Hudson Valley (NY) and surrounding area. 

You’re planning a wedding. Somewhere in your to-do list between picking flowers and finding a DJ, you’re thinking: “How much is this restroom trailer going to cost me?”

Good news: we break it down for you here. Bad news: there’s no single number I can give you without knowing a few things about your event (you can always get an exact quote today).

Here’s how we actually price luxury restroom trailers, and what’s going to affect your final bill.

The Starting Point: Estimated Base Pricing

Let’s start with the basics. Here’s an estimate of what a luxury restroom trailer costs for a standard wedding rental for the weekend:

What’s included in these prices:

  • Delivery and setup

That’s your baseline. But your actual price may not match these numbers exactly. Here’s why.

Factor #1: Location (It’s About Gas and Distance)

We’re based in Dutchess County, and gas is expensive these days. Hauling a luxury restroom trailer in a heavy truck isn’t cheap.

Here’s the deal: If you’re in our neck of the woods, there likely won’t be an additional cost added in based on location. But if you’re an hour+ away from us, we will have to add an additional charge (around $100-$200, depending on location).

The farther you are, the more the surcharge. This isn’t us being greedy—it’s us trying to run a small business. The cost of fuel, labor, and truck wear and tear adds up and if we don’t charge you, we will foot that bill ourselves. 

Factor #2: Trailer Size (Bigger Party = Bigger Trailer = Higher Price)

This one’s straightforward. You need more stalls, you pay more (because we had to pay more to buy the bigger trailer, so we need to pay it down!).

But here’s the question people get wrong: “How many stalls do I actually need?”

Don’t just match your guest count. Think about how long your reception is and whether you’re serving alcohol (see our guide on number of stalls needed for reference). 

Our Sizing Recommendation:

  • 50–125 guests: A 2-stall or 3-stall trailer is fine, depending where you are in that range. Most people won’t need it at the same time.
  • 125–200 guests: Two 2-stall trailers or a 4-stall. Lines get real when Aunt Carol needs a bathroom for 15 minutes.
  • 200+ guests: We have 6-stall, 8-stall, and 10-stall trailers available for larger parties.

Factor #3: How Far In Advance You Book (Last-Minute Costs More)

This is the one that surprises people.

Here’s our reality: If you call us 6 months before your wedding, we can fit you into an existing route. Maybe we’re already going to Rhinebeck that day; we just add a stop.

If you call us 2 weeks before, and we don’t have a convenient route, we have to send a truck out just for you. That’s gas, that’s labor, that’s inefficiency on our end. We have to charge for it.

Booking Timeline:

  • 3-6+ months in advance: Base price (best rate)
  • 3–8 weeks: Additional charge possible, depending on the situation
  • Less than 2 weeks: We will absolutely fit you in if we can, but if we have to build a new route to deliver to you, expect a rush charge. 
 

Lesson: Book early. It saves you money and guarantees availability.

Factor #4: Service Pumps (Longer Rentals Only)

Most weekend weddings? No pumping needed. The trailer is big enough for your guest count and your event length.

But if you’re doing a multi-day event or a really long rental, we need to empty the tanks mid-event.

Service Pricing:

  • Weekend wedding: No service charge. Included.
  • 7–10 day rental: 1 pump mid-week = +$250–$350, depending on location
  • 2+ week rental: Pumping every 5–7 days = +$250–$350 per pump, depending on location

For most couples, you’ll never pay this. It’s mainly for film productions or construction sites.

Factor #5: Season & Demand (Summer & Fall Cost More)

This one’s real. June through October is peak wedding season in the Hudson Valley. We’re usually in pretty high demand, and we have to charge more to keep all our workers paid through a busy rental season. 

Seasonal Pricing:

  • Off-season (November–April): Base price (we have availability)
  • Shoulder season (May, October): +$100–$200 (things are picking up)
  • Peak season (June–September): +$200–$400 (everyone’s getting married)
